Job description
Our client a professional legal services company in Cardiff are currently looking for an Office Assistant.
The purpose of the Office portion of this role is to support the Cardiff office with office and house-keeping duties which in turn, helps to ensure that other support staff and fee earners can work as effectively as possible. It is important therefore that the job holder is well organised, a good communicator and responsive to requests.
This role will currently be working from home so a good knowledge of working IT packages would be required.
It will also fall to the employee to provide administrative assistance to the paralegal team in Cardiff during busy periods and periods of absence.
Office Assistant Duties:
Answering the telephone and dealing with enquiries
Collecting post and small deliveries from Reception
Taking post to the Post Office
Setting up meeting rooms in advance of clients arriving
Serving refreshments to clients
Supervising recycling collections
Keeping communal areas such as the kitchen clean and tidy
Updating company documents when required
Replacing toners in printers when required
Scanning documents when required
Sending courier items to DHL via the Post Office when required
Monitoring stationery supplies
Monitoring kitchen supplies
Purchasing milk, fruit and various other kitchen supplies
Ordering stationery supplies
Ensuring meeting room is clean and tidy at all times
Clearing away crockery from meeting room following meetings
Monitoring calendars daily for visitors due in the next day
Answering the door to visitors
Checking contents of the First Aid Kit
Holding the Accident Book for Cardiff
Performing emergency light testing
Performing fire extinguisher checks
Performing fire door checks
Performing water temperature checks
Providing general assistance
Legal Assistant Duties:
Duties are varied and include:
Creating cold reporting / standard letters and emails
Preparing travel requests
Printing and scanning documents on request
Booking meetings
Responding to ad hoc administrative requests form the paralegal team
Exposure to the overall legal lifecycle
Performing any other reasonable request.
Person Specification
This role would ideally suit an enthusiastic , professional candidate looking to develop their administration skills with a keen eye for detail. In this position you will be responsible for a range of administrative and support duties, for which full training will be provided.
