Job description

Our client, a professional legal services company in the heart of Bath are currently looking to recruit an Office Assistant. This role would currently involve working from home so confident use of various IT packages would be required

The purpose of this role is to deal with all telephone calls in a professional manner and provide first class reception cover together with a variety of office duties. Additionally, this role will include work in the travel team making and managing bookings on behalf of the firm.

In addition, the purpose of this role is also to serve the office generally, acting as office representative and carrying out duties to ensure the smooth running of the Bath office.

Primary duties:

Answering all telephone calls, dealing with enquiries and transferring calls

Picking up voicemails and relaying messages

Meeting and greeting visitors

oPreparing rooms by generally tidying, replenishing biscuits, filling water bottles and putting glasses out as appropriate

oGreeting visitors, offering and serving hot drinks

Acting as first point of contact for Building Manager and building reception


Organising and booking travel arrangements and overnight accommodation for employees, prospective employees and clients.

Arranging cleaning as required

Reporting building faults and office repairs to the Office Manager

Following up and chasing contractors as necessary

Informing handyman of any miscellaneous jobs

Checking kitchen supplies and ordering/purchasing when required


Carrying out regular stationery inventories using checklist and ordering when required

Main point of contact for deliveries to Bath

Taking post to Post Office

Petty cash - handling and topping up as necessary

Carrying out office Inductions for new starters


Arranging building passes

Testing emergency lights, updating and keeping record

Completing monthly review sheets for our cleaning contractors and keeping an accurate record.

Scanning - Scanning as and when requested

Providing general assistance as requested


Person Specification

This role would ideally suit an enthusiastic , professional candidate looking to develop their administration skills. In this position you will be responsible for a range of administrative and support duties, for which full training will be provided however a level of previous experience is required as this role would be the main office support function.
